 How It Works 

World Phone offers advanced conference services for businesses and individuals. Supported services include conferences that are traditional, scheduled, invite-only, private and public. The system supports three levels of conference user roles that include Administrator, Regular Caller ,and Muted Caller. Administrators can manage conference rooms from the phone (Administrative IVR) or via Web (Web console). Two types of conferences are supported: private (pin authenticated) and public conference. The conference participants may be asked for PIN authentication to enter the conference, if required, or authenticate with Name (conference screening). Administrators can disconnect, mute, and unmute participants via Phone or web at any time, terminate conference, or record the conference and manage the records online or via phone. Scheduled conferences are fully supported based on time or administrator login event. Conferences support private bridging (allows two participants to talk privately), and status services (provides conference status). Conference access can be Service Number based (single-stage) or Extension Number based (two-stage), based on the subscriber profile setup.

 CALL FLOW  

Traditional Single-Stage

  1. Callers enter the conference room via direct Service Number (single-stage)
  2. Callers authenticate via PIN.
  3. Callers listen to music on hold while the administrator arrives.
  4. Administrator arrives and conference starts.
  5. Administrator manages callers by disconnecting and muting/unmuting them.
  6. Administrator records the conference and sends it to his email.
  7. Administrator allows private call screen based access to the conference.
  8. Callers talk to each other utilizing the conference room or privately utilizing private bridging.

Features Description
Conference Name
Enter a name for your Conference.
Simultaneous Calling
Select one of the following:
Private: Participants need to enter a Password (PIN) in order to enter the Conference Room
Public: Any person dialing the Conference telephone number can enter the Conference Room.
Private: Listen-Only Same as "Private" but participants can only listen they can not speak. Only Administrator can speak.
Public: Listen-Only: Same as "Public" but participants can only listen they can not speak. Only Administrator can speak.
Private: Screen: Same as "Private" but the participant needs to say his name after entering the Password (PIN). The Administrator can then decide to let the participant in to the Conference Room or reject him.
Public: Screen: Same as "Public" but the participant needs to say his name. The Administrator can then decide to let the participant in to the Conference Room or reject him.
Max Calls (3-20) Decide how many participants are allowed in the Conference Room.
Admin PIN Enter a password for the Administrator of the Conference Room. (Only use digits 0..9). If the Conference Type is set to "Public", "Public:Listen-Only" or "Public:Screen", no Password is required to enter the Conference Room. To enter as Administrator press "*" (star) and you will be prompted to enter the Administrator Password. (Only four digit numeric password)
Access PIN Enter a password for the participants to enter the Conference Room. This is only used for "Private", "Private:Listen-Only" and "Private:Screen" Conference Rooms. (Only four digit numeric password).
Monitoring PIN Enter a password for the participants to enter the Conference Room. This is only used for "Private", "Private:Listen-Only" and "Private:Screen" Conference Rooms. Participants entering this Password can only listen they can not speak. (Only four digit numeric password).
Admin E-mail This is the E-mail address of the Administrator where a summary of the Conference will be sent.
General Announcement If this box is ticked, participants will hear a lady announcing:
"You are placed in Conference Room ####. To Exit the Conference press the pound key ('#') twice."
Status Announcement If this box is ticked, participants will hear a lady announcing:
"There are xx participants in this Conference. The Conference has started yy minutes ago."
Admin Required If this box is ticked, participants will not be able to enter the Conference Room (they will be placed on hold) until the Administrator has entered the Conference Room.
Enable Mute Switch Ticking this box allows the Administrator to mute the Conference Room at any given time.
Enable Private Bridge If this box is ticked participants can establish a private bridge between two participants allowing them to talk privately.
Conference Announcement If this box is ticked the Conference Room will have the "Screen" applied where participants will have to say their name before entering the room.
Music On Hold
None: No music is played while participants are waiting to enter the Conference Room.
Default: Music is played while participants are waiting to enter the Conference Room. This is enabled only when administrator is required to initiate conference.
Scheduled Events
No: No scheduled events will take place when the Administrator logs in.
Login: When the Administrator logs into the Conference Room, the telephone numbers entered in the "Auto Dial Numbers" field will automatically be invited into the Conference Room. Note: This will only happen if the Administrator is the only person in the Conference Room.
Auto Dial Numbers Enter the telephone numbers that will be invited into the Conference Room by the Administrator.
Press "9" to get the Administrator menu and then press "9" to invite another participant (enter his telephone number) into the Conference Room or press "0#" to invite all the participants on this list.
Note: Separate telephone numbers by a comma "," and do NOT put any spaces in between. For example: 17322260011,12146149000…
Description Here you can enter a short description for the Conference Room.
Submit Settings Saves the entered settings.
Mute All This will instantly mute all participants. Only Administrator can speak.
Unmute All This will unmute all participants.
Invite Participant Click this button to invite new participants in to the Conference Room. See below.
Refresh Page This will refresh the page and show you an updated list of participants.
Mute This will mute the selected participant.
Unmute This will unmute the selected participant.
Disconnect This will disconnect the selected participant from the Conference Room.
Number Enter the telephone number of the participant you want to invite in to the Conference Room.
Select Number from Phone Book Click this link to select the participant from your Phone Book.
Submit Click this button to call the participant after entering the telephone number or selecting the name from your Phone Book.
Back To Conference Sends you back to the "Conference Room" screen.
